Maintenance Contracts for Trade Businesses: Turning One-Off Jobs Into Recurring Revenue

Pool maintenance team servicing a backyard swimming pool

One-off work is feast and famine: a great month, then a quiet fortnight and a mortgage that doesn't care. Maintenance contracts are the fix — pool servicing, mowing rounds, test-and-tag, filter changes, gutter cleans, air-con servicing. The same clients, on a schedule, at a known margin. But recurring revenue is only good revenue if you price it properly, schedule it reliably and check it's still profitable — because a bad contract loses money on repeat.

Price the year, then divide

Don't price a maintenance visit like a small one-off job — price the contract. Count the visits across the year, cost each one honestly (travel to site every single time, not just the twenty minutes on the tools), factor the seasonal spread if summer visits run longer, and add the admin of invoicing each round. Then set the per-visit or monthly price from the annual number. Be explicit in the agreement about what's included, what's extra and how many visits the price covers — scope creep on a recurring job compounds every fortnight, forever.

Schedule the whole series, not visit by visit

The operational killer of maintenance work is remembering it. If each visit is booked by hand, one busy fortnight breaks the round, a client gets missed, and the contract you sold on reliability just proved unreliable. Book the entire series the day the contract is signed — every visit for the year, in the calendar, assigned to a crew. Then route intelligently: group nearby rounds on the same day, because on a 45-minute visit, windscreen time is the difference between profit and charity.

Audit the round: contracts drift

A contract priced right at signing quietly goes bad: the hedge grew, the pool got a new pump you now maintain, the visit that took an hour takes ninety minutes. Without per-visit numbers you won't notice — the invoice stays the same while the cost doesn't. Track actual hours and materials against each visit and review every contract annually with real data: reprice the ones that drifted, and hold onto the ones that quietly became your best margin.

Running rounds in Taskr

Taskr treats maintenance work as a first-class citizen: create the series once — daily through to monthly cadences, up to 52 visits, multi-day jobs included — and every appointment lands in the calendar, colour-coded per crew member, with each field worker seeing their run on their phone. Timers track actual time per visit, and job costing shows profitability per visit, across the whole contract or to-date — so you know which rounds earn their place before renewal time. Put your existing round into the 14-day free trial and see what it's really making.
